Job Summary

The position requires a professional with strong proficiency in Microsoft PowerPoint, Excel, and Word, coupled with a solid understanding of budgeting, planning, and headcount resource allocation. The ideal candidate should have in-depth knowledge of project management, renovations, and facilities components, as well as expertise in systems-controlled, computer-aided engineering and design tools to efficiently perform related tasks. Operating under the direct supervision of the Head of Administration & Security, the incumbent will be responsible for ensuring smooth administrative operations and keeping management regularly updated on all administrative affairs.

Duties & Responsibilities

  • Direct day-to-day facilities operations, including preventive and corrective maintenance of facility equipment’s and systems. Implement and maintain health & safety standards to ensure a secure, congenial, and compliant work environment
  • Assist Head of Administration with the board packs, policies, budgeting and planning
  • Evaluate and implement technology solutions to enhance facilities management, including space utilization tools and building automation systems.
  • Monitor and maintain critical infrastructure systems, including power distribution, cooling systems etc.
  • Lead strategic space planning initiatives to optimize functionality, utilization, and efficiency of workspaces. Collaborate closely with architects and designers to create innovative and employee-centric office designs
  • Supervise team to offer full spectrum of facilities management services to the office buildings which includes daily maintenance, renovations, power related services, project management, office upkeep and real estate lease management.
  • Responsible to manage centralized warehouse including record keeping, retrieval and all administrative assignments related to warehouse.
  • Regular review of facilities management guidelines to ensure regulatory compliance in all applicable laws, regulations, standards, and best industry practice etc.
  • Manage vendors to deliver projects under tight deadlines on time and on budget.
  • Take charge to develop and manage the facilities budget, ensuring cost-effectiveness and alignment with organizational goals under direct supervision of Head of Admin & Security
  • Vendor and contract management, experience in negotiating and managing contracts with vendors and service providers in coordination with Sourcing / Vendor Management unit.
  • Experience in project management, including planning, executing, and overseeing large-scale projects.

Knowledge and Experience


Education: Bachelors/Masters in Finance, Civil/Electrical

Experience: 6 to 7 years Corporate Sector



Competencies

  • Proficiency in MS PowerPoint, Excel & Word
  • Good Communication skills-spoken & written Interpersonal Skills.
  • Strong grasp on number literacy
